Getting Started with Microsoft Copilot: A Practical Guide for SMBs

Microsoft Copilot promises to transform how your team works. Here's what SMBs actually need to do before flipping the switch.

By CelesteTek Team

Microsoft 365 Copilot is genuinely impressive. It can draft emails, summarize meetings, pull insights from your data, and generate first drafts of documents your team would have spent hours on.

But there's a gap between the demo and reality — especially for SMBs without a dedicated IT department. This guide covers what you actually need to have in place before Copilot delivers on its promise.

Licensing Basics

Copilot for Microsoft 365 requires a qualifying M365 base license (Business Standard, Business Premium, or E3/E5) plus the Copilot add-on at $30/user/month. You only need to license the users who will actually use it — start with a pilot group of 10–20 people.

What Needs to Be Clean First

Copilot reads from your Microsoft 365 data — SharePoint, Teams, Outlook, OneDrive. If that data is a mess, Copilot will surface the mess. Before you deploy:

  • Clean up SharePoint permissions. Copilot respects existing permissions. If sensitive files are broadly shared, Copilot will surface them to anyone who asks.

  • Organize Teams channels. Copilot works best when conversations are in the right channels and files are stored in Teams rather than chat.
  • Enable semantic search. Make sure Microsoft Search is configured and indexed.

Where to Start

The highest-ROI Copilot use cases for SMBs:

  • Meeting summaries and action items — Copilot in Teams will recap every meeting automatically
  • Email drafting — Copilot in Outlook drafts responses based on thread context
  • Document first drafts — Copilot in Word generates first drafts from prompts or existing docs
  • Data Q&A — Copilot in Excel answers questions about your spreadsheet data in plain English

What We Recommend

Don't roll out Copilot to everyone at once. Run a 30-day pilot with your most tech-comfortable users, measure actual time savings, fix permission issues as they surface, and then expand.

CelesteTek's Copilot Launch package handles readiness assessment, permission cleanup, pilot deployment, and adoption training. Book a call to learn more.
